What documents can be found in the archives of Ukraine?

Documents that have exceeded the established retention periods at institutions are transferred for permanent storage to the appropriate state or industry archives. For many documents

in the National Archival Fund, an important practical guideline is the 75-year retention period, after which access to information about an individual is significantly simplified. The specific access regime depends on the type of document, the information it contains, and any legal restrictions.


The archives of Ukraine contain millions of documents from the 18th to 20th centuries: parish registers, vital records, censuses and population lists, personal and court records, documents of Soviet institutions, materials on repressions, education, work, military service, and other sources.

The complexity of archival research lies in the fact that knowing a person's name alone is usually not enough. It is necessary to determine which archive, collection, inventory, and file the required document may be in, taking into account the administrative affiliation of the settlement during a specific historical period, any changes to its name, the family's religious affiliation, and possible spelling variations of the surname.

Ukraine's archival collections contain a vast array of sources—from 18th-century registers to personal files from the Soviet era. We know where to search depending on the region, period, and type of event, taking into account historical changes in the names of settlements and administrative divisions. Civil status records
We search for birth, marriage, divorce, and death records deposited in state archives.
Depending on the period, these records may contain not only the date of the event, but also information about parents or spouses, age, place of birth and residence, profession, nationality, and other data.
How does archival search work
The archival search process follows a clear sequence—from primary data to the retrieved document. Below are the four stages each request goes through.
  • You transmit the original data
    To begin, you'll need information you already have. This could include the person's full name, date or approximate year of birth, location, information about relatives, place of work or study, religion, and any available family documents.
  • We are conducting a search
    Once the task is agreed upon, work begins with the relevant collections, inventories, and archival files.
    Our goal is to find not just a match for a surname, but a document that, based on a combination of characteristics, relates to a specific person or family.
  • We determine the possible storage location of the document
    We determine which archive or archival collection may contain the required document and examine available inventories and reference information.
    Modern administrative boundaries do not always correspond to historical ones. Documents from a single locality may be located in different collections and even different archives, depending on the period and the institution that created them.
  • We transmit the result
    If the required document is found, the client receives a copy of it or another agreed-upon result of the archival search.
    If necessary, we also explain the contents of the document found and the significance of the information it contains.
    If the document has not survived or is missing from the verified collections, we consider possible alternative sources that can help confirm the required information.
